Travel Innovations Inc. is a versatile travel management company servicing a broad range of clients in every industry. Travel Innovations has the capacity for full service branches, central reservation centers, and various in-plant / out-plant and Satellite Ticket printer facilities. TRAVEL AGENCY SERVICES

Travel Innovations offers a comprehensive range of corporate travel services that will be made available to you. Below is a recap of the services currently offered by our agency and the list can be expanded to include any additional requirements for your company. 

Toll Free 800 Number

A toll free 800 number will be provided to all your personnel. This number will enable all employees to access their dedicated staff Monday through Friday 8:30 AM - 5:30 PM from anywhere in the United States, Canada, Puerto Rico and Hawaii. 

24 Hour Service

Through this service all travelers can receive "on the spot" assistance. THOR 24 can quickly access the travelers full itinerary and process enroute changes, or assist the traveler in solving problems with airlines, hotels, or car rental companies. In the event of an emergency situation that cannot be resolved, this service with contact Travel Innovations staff members at home. 

Ticket Delivery Service

Your company will be assigned a permanent messenger from the agency staff. Your travelers will receive tickets in a timely fashion to all offices by messenger. Any tickets for travelers outside New York City will be Federal Expressed at the agency expense. Tickets for same day travel outside the Manhattan area can be waiting for passengers at the airport. 

Passport Visa Service

Travel Innovations maintains a full-time passport & visa staff to secure various travel documents. We will provide full passport and visa service. Our Passport and Visa staff has a comprehensive list by country with specific requirements based on the citizenship of each traveler. We maintain excellent contacts with all the various embassies and consulates in New York City. 

Corporate Hotel Rate Program

The key to hotel savings is providing analysis, and then recommending a course of action. We would be pleased to analyze any hotel reports that are currently available from existing vendors to better discern travel patterns and hotel utilization. This will allow us to aggressively negotiate and establish additional or improved preferred rates at any one of your frequently utilized hotel properties. 

Meeting & Group Travel

Travel Innovations maintains a Group and Incentive Department. Due to the significant volume of the agency, as well as our proven track record with large groups, we can assist with site-selection, negotiated airfares and free tour conductor tickets, as well as all paperwork associated with meeting departure/arrival and rooming lists. 

Travelers Profiles

Travel Innovations will maintain an unlimited number of profiles for your company without requiring a minimum number of trips per employee. This profile data will be gathered by utilizing the "Profile Card Questionnaire" (ENCLOSED) which can be filled out by the traveler or his/her assistant. The information includes seating preference, frequent flyer information, meal service preference and any additional key information to provide the most accommodating travel arrangements. This information will be kept confidential by our agency.  

Car Rentals

Travel Innovations has been able to negotiate special concessions from auto rental companies. These concessions include price and the ability to upgrade car category for the original rate. 

Vacation Travel Planning

Travel Innovations can arrange any vacation plans for employees from cruises to complicated itineraries. We can also offer to develop special vacation packages exclusively for the employees and family members. 

Training Seminars

Travel Innovations will conduct traveler and secretarial seminars on a continuing basis to provide better communications between frequent travelers and your reservations staff. Topics generally include a review of our reservations capabilities. 

Lost Ticket Follow-Up

Our dedicated staff in tandem with our accounting personnel will provide timely follow-up of all outstanding lost ticket applications. 

Monitoring

At least every 6 months, we will provide a comprehensive account review, which will include an analysis of its service, cost benefits and recommendations for the institution of new programs to improve our overall travel management. 

Limousine Service

Our agents can handle limousine coordination by utilizing limousine companies that we work with on a nationwide basis.

Quality Control 

In recognition of many potential difficulties that can arise in booking travel, every reservation is subject to our Quality Control Process designed to eliminate errors and provide us the ability to guarantee your company the lowest available airfare at all times. Our quality Control Program encompass the following steps: 

  • Review Against Client Profile

Travel Innovations builds a profile for each traveler. Our agents review these profiles at the time of booking so reservations that deviate from your company's travel policies can be blocked or noted. This also speeds the reservation process by providing instant access to all the travelers preferences and requirements. 

  • Initial Review

At the end of the transaction, management personnel review each Passenger Name Record (PNR). At this point, each reservation is checked for completeness and accuracy. This check also enhances the reliability of corporate reports. 

  • Ticketing Review

At the moment of ticketing, each PNR is reviewed once more, to ensure that no new fares or routing have been offered (since the reservation was originally made) that will produce additional savings.

 

MANAGEMENT INFORMATION SYSTEMS

Travel Innovations can provide your company with state-of-the-art technology in the area of Management Information Systems. 

Before issuing any reports to your company we will jointly analyze and determine what information and which formats are most meaningful to your company. 

Airline Validation Report

Statistics for all carriers are reported monthly or as needed. Gross purchases will be itemized along with the number of tickets validated on each carrier, average dollar amount of each ticket, and the carrier's percentage of total validation. 

Destination and Carrier Analysis Report

This report will list all airline city pairs ticketed and can include, or not include stopovers as desired. Totals of all passengers for each city pair flown and a breakout of first class, coach, and other classes of service will be provided. This report has proven very useful in negotiating with selected carriers. 

Hotel Usage Report

This hotel usage report will provide specifics of your company's usage and will provide useful rate information by property, chain and city. 

Car Rental Report

The car rental report will provide the employee name and number, rental company, pick-up city, type of car, number of days for which the car was reserved, and also provide summary data by rental company. 

Class of Service Report

This report will provide a complete travel history summarization of airline reservations placed through our agency. A breakdown of class of service utilized by each of your company's travelers will be provided with dollar totals. 

Department Breakdown Report

This report will provide a list of each department's airfare charges. Specific details such as traveler's names, itineraries, invoice numbers, departure dates, ticket numbers and cost of ticket will be provided. These reports can be further customized to indicate travel either by client, job number, billable, non-billable, etc. 

Savings Report

This report will track the actual savings that have been realized by your company for each month's travel expenditures. This report will also indicate the effectiveness of our agency and will allow you to see the regular fare, the actual fare booked, and the subsequent amount of savings. 

Exception

This report highlights those individuals who have refused a discount or promotional fare and as a result have incurred a higher ticket price. 

Equality

This lists all transactions where the actual ticket price was the only price option, within the perimeters of the travelers schedule flexibility. 

Credit Card Report

This report will enable your company to reconcile their charge card invoices. This report will provide the ticket number, amount of charge, invoice number, routing, name of the traveler and the travelers department and division. 

Departure / Arrival Report

Useful for group travel. Provides you with a traveler listing by airline, departure/arrival city and time.

All these reports can be sorted and formatted in a variety of ways. We can provide you with a detailed analysis by division, department, segment and employee number. We can also provide one-page summaries of expenditures (air, hotel, and car) and sort them according to any organizational hierarchy. Our reporting capabilities allow us to produce reports for your headquarters. Furthermore, we have the ability to custom tailor additional reports that are meaningful to you. All airline transaction data can be handed-off on magnetic tape, CD-ROM, or diskettes. The information on the diskettes include:

COST SAVINGS

In addition to quality control measures outlined in this proposal, TII has been able to arrange several types of special fare discounts for our clients. These include: 

Relaxed Capacity Control Discounts

Travel Innovations has negotiated a "relaxed capacity control program" with selected carriers which allows the privilege of wait listing our clients on sold out "discount" classes of service. We then have our quality control department contact a special services department at that particular carrier and our client is immediately put on a priority waitlist. Assuring that if the flight requested becomes available they will be given first priority before it becomes available to the public. 

Group Discounts

Our agency has utilized special group fare discounts for our clients transient business travel needs. We have accomplished this by analyzing city-pair data and requesting group discount fares in those frequently utilized city-pair markets. Generally, the discount will range from 30% to 60% off full economy, or 5% off capacity controlled fares. 

Within the perimeters of the various discounts described above, our agency has negotiated the following programs for our clients:

  • Relaxed capacity control program on two domestic air carriers.
  • Special reduced fares between the New York, Washington and Boston Markets.

All the above opportunities will be used in conjunction with our quality control programs designed to purchase the least expensive ticket available within the confines of your travel policy.
